COUNTED AND RECORDED ON PICK-UP RECORD SHEET:
Material should be counted and recorded on the supplied MTS pick-up record sheet prior to the arrival of the driver. All counts are subject to verification and random checks will be made to ensure the accuracy of these counts. Having mail ready prior to the arrival of the MTS driver will reduce waiting time and allow driver to continue his route in a timely fashion. |
SEALED WITH RETURN ADDRESS:
In order to ensure the proper tracking, security, and confidentiality of your material it is required that each item is sealed and a return address affixed. This enables MTS Logistics to not only track your material, but it also allows us to return mail to your location without opening confidential items in order to determine the return address. |

X-rays or Films:
It is strongly recommended that “DO NOT BEND” or “X-RAY” is written on the packaging of these items to ensure their proper care. All items marked with these instructions will not go through our regular sorting and bundling procedures and are instead hand sorted flat and kept separate from all other mail during transport. These items are automatically tracked in our computerized tracking system. |
Serums or Samples:
It is strongly recommended that “REFRIGERATE” is written on the packing of these items to ensure their proper care. All items marked with these instructions will be refrigerated overnight in our secure facilities. These items are automatically tracked in our computerized tracking system and a signature is obtained (free of charge) from the receiving office upon delivery. |
Fragile:
It is strongly recommended that “FRAGILE” is written on the packaging of these items to ensure their proper care. All items marked with these instructions will not go through our regular sorting and bundling procedures and are instead hand sorted flat and kept separate from all other mail during transport. These items are automatically tracked in our computerized tracking system. |
Signature Required:
It is strongly recommended that “SIGNATURE REQUIRED” is written on the packing of these items to ensure their proper care. All items marked with these instructions will have a waybill attached to the packaging if they are on-route, off-route items will be automatically sent Registered Mail or Xpresspost via Canada Post. These items are automatically tracked in our computerized tracking system and a signature is obtained from the receiving office upon delivery. If a signature is required from the sending office, please call our office in advance so that we may arrange that a waybill is brought to your location at the time of pick-up. |
Rush or Urgent:
It is strongly recommended that “RUSH” or “URGENT” is written on the packing of these items to ensure their proper care. Although MTS does provided next business day delivery (please see section regarding "delivery time frames and conditions" below), if the driver has difficulty delivering a time sensitive item our office is contacted immediately so that other arrangements may be made to ensure delivery. |
Same Day Delivery Required:
DO NOT give this item to your regular driver. Our office must be contacted in advance so that we may dispatch a same day courier driver to your location for same day delivery needs. Please see section regarding "other services" for more details. |
TRACKING PROCEDURES AND CONDITIONS |
Item type, weight, sending/receiving information, patient name, and department information are all recorded in our computerized tracking system for all items excluding standard sized envelopes (see section regarding "Item Descriptions for size classifications"). To track an item please call our office or make a request online at www.mtslogistcs.com. |
DELIVERY TIME FRAMES AND CONDITIONS |
Material originating and destined to a city in the same Zone will be delivered next business day. Please see Route Addresses for Zone listings. |
Material originating in ZONE 2 and destined to ZONE 3 or originating in ZONE 3 and destined to ZONE 2 will take an additional business day. |
Material originating and destined to cities in ZONES 1-3 will be hand delivered at Medi-Tran rates within the time frames listed above. |
Material destined to ZONE 4 will be delivered via Canada Post at regular postal rates within time frame suggested by Canada Post. |
Items to and/or from Courtenay, Comox, Campbell River and Port Alberni on Vancouver Island may take an additional business day for delivery. |
All delivery times are dependent on and subject to traffic, road and weather conditions. Ferry and/or highway closures may affect delivery times. |
TRANSPORT OF ITEMS BETWEEN ZONES |
Transport of items between the Lower Mainland Okanagan ,and Vancouver Island Kelowna will be provided by Ace Couriers, Mayne Logistics Loomis, Greyhound, Pacific Coachlines and/or Maximum Express. |

Items off-route or outside our delivery area will be sent via Canada Post at regular postal rates billed to your account on a monthly basis. A surcharge may also be applied. |
Your account will be billed monthly on a net 30 days basis. |
Interest may be charged to your account on amounts more than 30 days overdue. Interest is calculated at 2% per month (24% per annum). |

OTHER SERVICES |
Full Postal Services:
Full postal services are available including bulk distribution pricing, first class mail, Priority Courier and Xpresspost, Customs declarations, registered mail requirements, as well as business reply mail service. All Canada Post rates and procedures apply to items sent via Canada Post. |
Bulk Distribution:
Discount rates are given to our clients for larger admail distributions. Rates are dependent on size and volume. Please contact our office for more details. |
Mailing Lists:
Our up to date database contains all health care professionals and related industries. We can create a customized mailing list based on specialties and/or geographical area(s) required and print labels based on your needs, or directly address your items. |
Signature Service: Equivalent to Canada Post’s “Registered Mail”. For an additional $3.50 charge this service ensures signatures from sending and/or receiving addresses if required. |
Same Day or Rush Deliveries:
MTS will be happy to arrange same day delivery of time sensitive materials upon the request of our clients. Please contact our office to make special arrangements for this service. Although MTS Logistics does provide same day service to our Lower Mainland Customers, same day service within the Okanagan Valley is currently still in the pilot stages of development and is therefore subject to driver availability. All customers will be notified when this service is fully operational. |
Facility Orientation and Training:
MTS representatives will visit each site for orientation and training procedures upon request. All sites will be provided with instructions regarding proper mail condition and handling prior to the MTS pick-up. Estimated orientation time is approximately 15 minutes, but is dependent on overall understanding. The MTS representative will remain to answer any questions. |
